What Is the Warranty Vault?
The HALOFIX USA Warranty Vault is a secure digital archive automatically created for every completed job. It stores your warranty certificate, invoices, before/after photos, Hero details, and communication logs in one place.
Records are retained for 7 years from job completion — the maximum retention period under Florida and IRS requirements.
What the Vault Contains
- Digital warranty certificate with coverage dates and terms
- Itemized invoice and payment receipt
- Before and after photos (uploaded by Resident or Hero)
- Hero profile and insurance verification snapshot — plus a Florida DBPR license verification snapshot on jobs in the trades Florida regulates (plumbing, HVAC, electrical, roofing), and an EPA Section 608 certification snapshot where refrigerant work was performed
- Service notes and completion checklist
- Communication log between Resident, Hero, and HALOFIX USA support
- Any warranty claims and their resolution history
Appliance repair: Florida's DBPR has no appliance-repair license category, so an appliance Hero may not hold a DBPR license for appliance repair alone. Electrical, plumbing, HVAC, or refrigerator/freezer sealed-system refrigerant work is assigned only to Heroes with the appropriate DBPR license or EPA Section 608 certification. Every appliance Hero is vetted and must provide insurance documentation. An appliance-repair archive therefore contains the Hero profile and insurance verification snapshot, and no DBPR license record.
Data Security
Vault data is encrypted at rest (AES-256) and in transit (TLS 1.3). Access is limited to the Resident account holder and authorized HALOFIX USA support staff during active warranty claims or disputes.
Heroes can view their own completed job records but cannot access Resident payment details or personal information beyond what was shared during the service.
Retention & Deletion
Vault records are retained for 7 years from job completion date. After this period, records are automatically purged unless an active warranty claim or legal hold applies.
Because these records document completed work for tax and warranty purposes, HALOFIX USA retains your Vault data for the full 7 years required by IRS recordkeeping rules and Florida's statute of limitations. We are unable to delete Vault records early, even by request, during this retention period.
